  • Will our meet be suitable for your services: We accept bookings for pool events of all grades. Our services are suitable for a social club night, a more competitive club meet or regional and state championships


  • Which Meet Manager Software do you use:  We operate meets using either Hytek or Splash Meet Manager.  The choice of software is dependent on client preference and requirements due to the different features of each software suite.


  • Which Meet Management software would be suitable for my meet:  Hy-Tek Meet Manager and Splash Meet Manager each offer distinct advantages and limitations, with the selection typically guided by the specific objectives and operational requirements of the meet. Hy-Tek is a powerful and reliable meet management system with advanced features and strong integration with timing hardware, making it ideal for large or complex swim meets. Splash focuses on ease of use and live online results through swimrankings.net and the SplashMe app, which is great for clubs wanting fast visibility and easy access for spectators. Hy-Tek offers more technical depth but requires a more complex set up but does interface with MeetMobile, while Splash is more user-friendly but may not support as much hardware. The optimal choice hinges on the meet’s objectives and the type of experience organisers aim to deliver for swimmers, coaches, and spectators.


  • How do you price your services:  We provide itimised pricing and a range of flexible packages tailored to suit your team’s strategic objectives and event goals. For more details, refer to our pricing page here

  • Timing System: At this point of time, we do not have a timing system. When hiring Pro Swim Tech to process swim meets, teams must provide a timing system (automatic or semi-automatic) or Pro Swim Tech will provide at an additional cost to the event organiser via one of our partners.


  • Will we be required to have staff on standby at the control room for safety: Although it is not required at all events, we strongly encourage clubs to provide at least two support staff. We recommend the volunteers split the task so as to monitor the timing system records whilst the second volunteer works with the Meet Manager Operator. Deploying additional club personnel, especially at high-level meets, enhances operational efficiency, supports a professional event atmosphere, and minimises the risk of timing or result discrepancies.


  • Do you handle pre and post event operations and tasks: Yes, whether you choose one of our meet packages or opt for à la carte services, we can manage every aspect of your event—from sending invitations and consolidating entries to building the meet database. Post-event, we handle result publication, submission to state and national bodies, and the issuance of participation and placement certificates.


  • Do we need to provide a computer for the meet: The Meet Manager will bring their laptop and on which to run the meet. Please note that if the host is providing the database, this must be provided to Pro Swim Tech no later than three days prior to the commencement of the meet and must be formatted as advised by Pro Swim Tech.


  • When will the meet manager operator arrive: Our operator will arrive approximately 90 to 100 minutes before the first event begins, ensuring ample time for setup, system testing, and a pre-event briefing.


  • Is internet access required: An internet connection is required and can be provided via either LAN or Wi-Fi.


  • Will the operator coordinate with the referee and starter for event flow: Yes, the Meet Manager will liaise with all technical officials to ensure seamless coordination and the smooth execution of the event.
